Panopto is the University’s lecture capture and video tool. Any member of the SLU community can use it to create videos. These can be pre-recorded or recorded during live classes, including screen captures and audio/visual elements.
Due to costs and storage limits from Panopto, the University needs to implement a video retention and storage management strategy. Note: Before using Panopto, SLU had a similar system for managing content and storage with the previous provider. This document outlines how the University will re-establish these procedures.
The information below details the criteria for this strategy, as well as the processes and timelines for implementing and assessing storage reductions.
Storage Management Overview
In Panopto, videos are stored in one of two ways:
- Active content: videos that are available in real time and can be accessed anytime (referred to as Stored content by Panopto)
- Archived content: videos stored long-term that can be accessed within 24-48 hours after being restored to Stored content
Key features of the storage management process:
- To comply with SLU’s contract with Panopto, ITS will regularly delete videos that meet certain criteria.
- Users can take steps to prevent deletion.
- Deletion will occur on a regular and predictable schedule.
Criteria for storage management based on recommendations from SLU’s Learning Technologies Advisory Committee (LTAC, which includes faculty and student representatives), the following criteria will guide ongoing storage management:
- Videos not viewed in the last 24 months (last-viewed date > 24 months)
- Videos created more than 12 months ago (create date > 12 months).
These criteria aim to reduce stored content while acknowledging that:
- Some videos are reused in courses every other year
- More recent videos may be intended for future courses (i.e., they haven't been viewed yet but need to be kept for future use).
