Export Emails from Outlook

Export to a .pst File (Recommended)

A .pst file is a portable archive of your entire mailbox, including all emails, folders, and calendar items. This is the fastest way to preserve your Outlook content. Note: This method requires the Outlook desktop application on a personal (non-SLU-managed) computer.

  1. Open the Outlook desktop application and sign in with your SLU credentials.
  2. Click File > Open & Export > Import/Export.
  3. Select Export to a file and click Next.
  4. Select Outlook Data File (.pst) and click Next.
  5. Select the mailbox folder you want to export. To export everything, select the top-level folder (your email address) and check Include subfolders.
  6. Click Next, choose a save location on your personal computer, and click Finish.
  7. You may optionally set a password for the .pst file, or leave it blank and click OK.

Tip: The exported .pst file can be imported into any Outlook installation by using File > Open & Export > Import/Export > Import from another program or file.

Forward Emails

  1. Sign in to outlook.office.com with your SLU credentials.
  2. Open the email you want to keep.
  3. Click Forward and send it to your personal email address.

Tip: To save time, you can select multiple emails, click Forward, and send them to your personal address in a single message.

Save Emails as .eml Files

  1. Sign in to outlook.office.com with your SLU credentials.
  2. Open the email you want to save.
  3. Click the three-dot menu () in the upper-right corner of the message.
  4. Select Save as and choose a location on your personal computer.
  5. The email will be saved as an .eml file, which can be opened in most email applications.

Download Files from OneDrive

  1. Sign in to onedrive.com with your SLU credentials.
  2. Select the files or folders you want to keep by clicking the circle icon to the left of each item.
  3. Click Download in the toolbar at the top of the page.
  4. If you selected multiple items, they will be downloaded as a single .zip file.

Tip: If you have a large number of files, download them in batches by folder to avoid timeouts.

Download Files from SharePoint or Microsoft Teams

Files shared through Microsoft Teams or SharePoint are stored in SharePoint document libraries.

  1. Navigate to the SharePoint site or Teams channel containing your files.
  2. Open the Files tab or document library.
  3. Select the files or folders you want to keep.
  4. Click Download in the toolbar.

Export Your Calendar

  1. Sign in to Outlook Calendar on the web with your SLU credentials.
  2. Click the Settings gear icon in the upper-right corner, then select View all Outlook settings.
  3. Navigate to Calendar > Shared calendars.
  4. Under Publish a calendar, select your calendar and choose your desired permission level.
  5. Click Publish, then use the ICS link to download your calendar file.
  6. The .ics file can be imported into Google Calendar, Apple Calendar, or other calendar applications.

For Users on SLU-Managed Computers

If you are using an SLU-managed computer, .pst file export is not available. Please use the following methods to save your email content:

  • Forward emails to a personal email address (see instructions above).
  • Save individual emails as .eml files using Outlook on the web (see instructions above).

All other export methods (OneDrive, SharePoint, Teams, and Calendar) work the same on SLU-managed computers.
